Chief Operating Officer

REPORTS TO: President & Chief Executive Officer

It is the expectation of The Board of Trustees of the organization that each leader support the mission, vision and breakthrough goals of the organization. Each leader will be responsible for demonstrating core leadership competencies that include: Strategic leadership to create alignment to the goals and strategies of the organization, the capacity to make strategic decisions to improve the organization’s performance, the ability to influence the appropriate constituencies to gain the commitment of individuals and teams through either direct or indirect management responsibility and the coaching and development of these same teams and individuals to perform to their highest level of potential. Each leader must bring a strong business/industry perspective to develop programs and resolve business issues that ensures the organization is successful in meeting its long and short term goals. The ability to communicate effectively in various mediums and adjust language and presentation to capture the attention of various audiences is central to success in this role.

Each leader will be responsible for demonstrating core continuous improvement competencies to ensure the appropriate focus is placed on managing the necessary processes within his/her functional area to support the strategies, sets expectations within his/her area that problem solving should result in the identification of root causes and countermeasures to permanently eliminate the problem and supports the organization’s culture of continuous improvement through the lens of providing quality patient care and a strong customer focus.

Each leader will be responsible for demonstrating core competencies by a strong willingness to work with others throughout the organization and be a role model for teamwork and cooperation that results in the highest quality of care and concern for our patients and employees. These characteristics along with personal initiative and a strong focus on results are critical to continued success in this role.

Position Summary

Responsible for managing all hands-on operational aspects of the organization. Assists President & CEO in the aggressive and successful growth of the organization. Provides leadership, management and vision necessary to ensure that the organization has the proper operational controls, administrative and reporting procedures, and people systems in place to effectively grow the organization and to ensure financial strength and operating efficiency.

Foster a culture that is responsive to the changing marketplace, values the customer, respects diversity, is cost effective and productive in its delivery of services to all patients, and acknowledges the achievements of staff.

Communicates the mission and vision of the organization and provides leadership by example in promoting the company’s culture of collaboration, teamwork, participation, acknowledgement and integrity.

Works collaboratively with executive colleagues to deliver superior business results of growth, profit and retention while being a role model and mentor for the organization.


Position Responsibilities

Participate in setting long-range strategic and financial goals for the organization.
Achieve short and long range operational goals and objectives based on the plan.

Communicate on an on-going basis the goals of the organization and the progress made toward achieving the goals.

Responsible for driving the organization to achieve and surpass business goals and objectives.

Responsible for the measurement and effectiveness of all internal and external processes. Provides timely, accurate and complete reports on the operation’s condition of the organization.

Spearhead the development, communication and implementation of effective growth strategies and processes.

Collaborate with the management team to develop and implement plans for the operational infrastructure of systems, processes, and personnel designed to accommodate the rapid growth objectives of the organization.

Motivate and lead a high performance management team; attract, recruit and retain required members of the clinical leadership team; provide mentoring as a cornerstone to the management career development program.

Foster a success-oriented, accountable environment within the organization.

Direct the acquisition, design and implementation of new space and space planning activities for all sites.

Ensure that operating expenses meet budgetary targets. Prepare operating budgets and capital budgets in conjunction with the Chief Financial Officer and Chief Medical Officer.

Ensure that operating policies, procedures and systems at all sites are implemented and monitored in support of the company’s mission, strategies, goals and objectives. Ensure the development, implementation and uniform interpretation of operations and departmental policies. Resolve problems that arise out of implementation of policies related to staffing utilization of facilities, equipment and supplies.

Review, evaluate, approves appropriate requests for additional resources and significant changes in clinic programs, services, policies and procedures. Oversee performance of the company’s subsidiaries and business units including DME, Optics, Pharmacy, Occupational Medicine, Rehabilitation, and Sports Medicine, and Information Technology.

Monitor operational and financial performance. Ensure that budget targets and performance targets are met.

Provide direction to leadership regarding operational activities and strategic initiatives.

In collaboration with the Chief Medical Officer, ensure that the company’s services meet NCQA, Department of Public Health and other regulatory and accrediting agency standards.

Direct the activities, as pertains to the company’s issues, of Vice Presidents of Ancillary Services, Real Estate, Information Services and Senior Vice President of Clinic Operations.

Work collaboratively with the Chief Medical Officer, Department Chairs and Division Chiefs to foster physician-staff interactions and to resolve disciplinary problems between medical and support staff.

With the support of the Chief Medical Officer, ensure that programs and systems are modified as necessary to maintain a high level of patient and staff satisfaction.

Ensure patient satisfaction for the clinical and non-clinical components of service (quality of service) is continually measured and meets the company’s standards of care.

Ensure satisfactory resolution of all patient complaints regarding non-clinical quality of the care and services. Monitor complaints, ensure Corrective Action Plans are implemented and accountability established.

Ensure selection, training, and on-going development and evaluation of all clinical administrative staff. Assist in the development of guidelines for evaluation of all administrative staff and ensures that they are applied consistently and fairly across the organization.

In collaboration with the President and Chief Medical Officer, participate in community and public relations activities and marketing campaigns. Serve as a member of the Community Relations Committee. Respond to community issues appropriately to ensure a positive company image.

Ensure efficient and effective support services (i.e., telephone, transcription) are in place.

Represent the organization at public and professional meetings and conferences as requested.

Provide reports to the President of the company and Foundation and Board of Directors as they pertain to the administrative performance of the company.

Position Qualifications

Master’s degree and 10 or more year’s in a senior leadership role in a clinic or medical group practice setting, preferred. Knowledge of business systems, information systems and multi-specialty group medical practice.
